Why you need to confirm your MYOB datafiles

In order to continue to use your MYOB software you need to confirm each datafile regularly. This is because of the Digital Rights Management (DRM) lodged in the software since version 11. If you don't reconfirm your datafile on time, MYOB will give you a 14 day warning and after a few weeks it will become read-only (although as soon as you put in a code again you will regain access to your data). Automatic file confirmation used to be possible using the MYOB online process. However MYOB in Australia seem to have closed this option. Therefore you need to manually enter confirmation codes into your MYOB program for each datafile on a regular basis. The manual reconfirmation process we offer is quite simple. In summary, each September you give us your latest company file code for each datafile you use. We give you back a confirmation code. You type that into your MYOB datafile as though you had received it over the phone from MYOB directly. That action confirms your datafile. See Detailed Procedure Below.

Regular Confirmation Codes

We will provide confirmation codes for our members on an annual basis (usually in September). We ask that users follow this annual reconfirmation event. That way, you are never at risk of your file going read-only. We will email you in mid-September to give you instructions on how to confirm your file. We can only perform this service for MYOB users who have joined the MYOB User Group and who have paid their annual fee. Follow the

One-Off Confirmation Codes

If you need an extra confirmation code at short notice we will do our best to provide it for you. But this may take a few days. The first step is for you to email us your licence and company file code. Follow the Detailed Procedure Below.

Conversion

There are usually better upgrade paths than continuing to rely with this patch. Therefore we generally do not recommend that you continue with confirmation codes. Day-to-day use of your datafile is likely to underpin your business operations or is critical to calculate its tax liabilities. If this is so we recommend that you convert to something else, such as Accountedge.

How to Confirm Your MYOB Datafile

1) Find your codes in MYOB
To find the codes we need, go into your MYOB datafile. Select Setup, Company Information, then Licence (button at bottom of screen). Check your serial number and number of users from this screen - these never change. Sometimes the code needs to be found from the opening program screen. You will find that this has four options including 'telephone reconfirmation'. This is the option that you want, the resulting screen should look similar to that shown on the right.

2) Copy your company file code/s

Write down the company file code you see there (10 digits). Note that underneath the company file code there is a blank field for a confirmation code to be entered. You will have a different company file code for each datafile (if you have more than one).

3) Email us your codes

Send an email to info@myobusergroup.co.uk with the following information:

- Subject heading should be - 'Annual Reconfirmation'. Then -

- Your company name

- Your MYOB licence no/ serial no (12 digits in this format 1234 1234 1234) (from licence screen & confirmation screen)

- Your no of users (found on licence screen)

- Your company file code/s (from confirmation screen) - in this format 1234 1234 12.

4) What we do then

We then use your serial number and company file codes to generate your new confirmation codes using our code calculator program. We will email you back within one week with your confirmation codes.

5) Confirm your MYOB Datafile/s

Once we email you back, please record/copy your confirmation code/s carefully and type/paste it onto your licence screen back in MYOB. This confirmation code should carry on working until the next annual confirmation process.
